Phase 6 School Agreement and Booking Conditions
School Agreement and Terms of New Views
New Views funding is part of the London Challenge Student Pledge to provide courses to extend the opportunities for Key Stage 3 pupils to take part in a residential experience or visit. Each school has a grant that can be used to fund New Views courses. Schools may use the grant to book one or more New Views courses depending on the level of funding that has been allocated to them. The total number of courses available is limited and courses are therefore available on a first come first served basis so early booking is advised to avoid disappointment. There is no cash alternative to booking one of the advertised courses.
In order to receive the funding schools must agree to the following terms
- New Views funding can only be used for New Views courses, being delivered by the DfES agreed New Views providers, as listed on the website.
- New Views courses should be an additional opportunity for pupils and should not replace existing residential course provision.
- Schools must nominate a member of staff who will take full responsibility for liaising with the New Views administrator and course providers with regard to the administration including attending a workshop (see 3 overleaf), evaluation (see iv. below) and the educational content of the course.
- Schools agree to take part in evaluation of the course/courses. Pupils and parents/guardians may be asked to contribute to this.
- Schools agree to the New Views booking conditions as listed below
Please note that it is your school’s responsibility to ensure that you are meeting your LEA’s Health & Safety procedures for school visits. If you have any concerns consult your EVC or LEA adviser.
Schools will be asked to sign an agreement to the terms and conditions once they have made a confirmed booking.
Phase 6 New Views Booking Procedure and Conditions
- The school will be notified in writing of the funding available to support a New Views residential course during the current phase of London Challenge New Views. The funds will not be available to support existing residential course provision and can only be used to support a course listed on the London Challenge New Views website.
- Accompanying the funding confirmation will be information about the New Views courses which are available to schools, and access details to the New Views website through which bookings can be made. The terms will also stipulate the number of pupils who should be supported, and a maximum grant per pupil.
- The school will have to take part in a one day workshop in the London area to make the most of the opportunities presented by the residential experience within school. The school will be given supply cover to enable a teacher to attend the workshop which will be organised by London Challenge New Views. Further supply cover of one day to enable the teacher to carry out pre and post course evaluation can be claimed following attendance and on completion of the evaluation.
- A Provisional Booking can be made through the New Views website www.newviews.org.uk. The website will include course fees. The course will only be held for 5 working days and does not commit you to any payment.
- A Confirmed Booking form must be faxed to the New Views course administrator (signed by a member of the senior management team and the member of staff responsible for course administration and educational content) within 5 working days of the provisional booking. If this confirmation does not arrive the course will be offered to other schools again. The confirmed booking will commit the school to paying a holding deposit of £30 per pupil (£50 per pupil where course fee exceeds £150).
- Deposits. On receipt of the confirmed booking a London Challenge New Views agreement will be sent including a request for payment of the deposit. Until the agreement and deposit are returned the booking will not be confirmed by the Provider and there is no certainty that a place can be held for more than 10 working days after the agreement and deposit request has been despatched. The deposit paid in respect of each course is accepted as a first instalment of the charge and will be refunded provided there are sufficient funds in your New Views grant and your school has completed the course.
- Final Payment. The school’s New Views grant will be used to pay the final balance of the course fee 10 weeks prior to course commencement. The school will only have to make a payment if the school’s London Challenge New Views grant is insufficient to meet the full cost of the course. Should the grant be insufficient to cover the cost of the course London Challenge New Views will invoice the school for the balance 10 weeks before the date of the commencement of the course.
- Cancellation. The deposit is automatically forfeit if the booking is cancelled by the school for any reason. The London Challenge New Views administrator should be contacted with any course cancellation information. If the school cancels the course more than 15 weeks prior to the date of course commencement, the school can still use their New Views grant providing they book a course within phase 6. Cancellations less than 15 weeks prior to the date of commencement of course, will result in forfeiting the New Views grant for that course.
- Reduction in course size (cancellation of places). Please inform the London Challenge New Views administrator immediately of any reduction of places on the course. If cancellation of a place is made less than 10 weeks before the commencement of the course, funding for the cancelled places will be forfeit.
- Following completion of the course and receipt of the course evaluation, by the London Challenge New Views administrator, the school will be sent a final statement which records how the grant has been spent including any changes made prior to the course, it will also include a refund of deposit if applicable. This final statement will be included as part of the DfES audit trail
